Managing bookings as a travel agent

To efficiently manage your clients' bookings, make sure that any cancellations, rescheduling, amendments and further information are directed to our customer care team.

The Managing Booking Tool helps you easily view and handle bookings made through the GetYourGuide Partner Portal. It’s designed to make booking management simple and organized for you and your clients.

Key Features

  • Portal Bookings Only: You can manage bookings and request proof of payment only for bookings made through the in-portal booking system. Bookings created via deeplinks will show up in the overview but can’t be changed.
  • Booking Overview: See all your bookings in one place, divided into three tabs: Upcoming, Completed, and Canceled.
  • Search Bar: Quickly find specific bookings using the search bar in the right tab.
  • Booking Details: View important information like the activity, booking number, dates, participants, commission, and the agent’s email.

Managing Bookings

  1. Access the tool in your homepage section.
  2. Find the Booking: Use the tabs (Upcoming, Completed, or Canceled) and search bar to locate the booking you want.
  3. Open Details: Click the blue "Manage" button next to the booking. This opens a new page with all the details.

Actions You Can Take:

  • Download Voucher: Share the voucher with your client.
  • Proof of Payment: Request proof of payment here. 
  • Contact Supplier: Use the contact information to reach the supplier.
  • Reschedule: Change the booking to another date.
  • Cancel Booking: Cancel the booking if needed. Canceled bookings move to the Canceled tab automatically.

Organizing Bookings

Use the tabs to separate bookings by status: Upcoming, Completed, or Canceled.
Make sure you’re in the right tab when searching for a booking (e.g., only upcoming bookings can be searched in the Upcoming tab).

 


icons8-3-64.pngWhere is my booking confirmation email?

When you book and pay on behalf of your clients, the customer booking confirmation will be sent to the email address you entered during the booking process. If you booked through the in-portal booking system, the confirmation will also be available in the Managing Booking Tool.

Please see the following steps on how to locate the booking confirmation:

  1. Through the Booking Management Tool: Verify if the reservation was placed through the in-portal system. Searchthe Completed and Cancelled section of your booking management tool

  2. Through your Email Inbox:

    • Ensure you’re checking the correct email address.

    • Be sure to check your spam folder.

    • The email will be sent to the email address provided during checkout.

    • Search your inbox or spam folder for the subject line "Your booking is confirmed - GYG.

icons8-4-64.pngDo I receive a partner booking notification email? 

Yes - In addition to the customer booking confirmation, you may also receive a separate email titled "New booking on GetYourGuide" if you’ve enabled booking notifications. 

This email serves as a confirmation that a new booking has been made through your partner account and includes the most relevant booking details including the booking voucher. 

If you cannot locate your booking confirmation please contact our customer care team.
